Data Deletion

Elk Agent ("Elk Agent", "we", "our", "us") is committed to giving you full control over your personal data. This Data Deletion Policy explains how you can request the deletion of your account, organization, agents, and associated data from our platform.

1. What Data We Delete

When a deletion request is processed, we remove the following categories of data associated with the deleted resource:

  • Account data — name, email, profile information, authentication credentials
  • Organization data — organization name, settings, members, billing history
  • Agent / Chatbot data — agent configurations, knowledge bases, uploaded documents, training data, chat logs, and conversation history
  • User Submissions — any files, text, or content you uploaded to your workspace
  • Integration tokens — API keys, connected third-party service credentials

Some data may be retained for a limited period where legally required (e.g., financial records, legal hold obligations). In such cases, the data will not be used for any operational purpose and will be securely purged once the retention period expires.


2. How to Delete Your User Account

You can permanently delete your personal account directly from your account settings page.

Steps:

  1. Log in to your Elk Agent account.
  2. Navigate to Account Settings.
  3. Scroll to the Danger Zone section.
  4. Click Delete Account and follow the confirmation prompts.

Note: Deleting your account will permanently remove all your personal data. If you are the sole owner of any organization, you must transfer ownership or delete the organization before deleting your account.


3. How to Delete an Organization

Organization owners can permanently delete an organization and all its associated data from the organization's general settings.

Steps:

  1. Log in and navigate to your organization's dashboard.
  2. Go to :org/settings/general on elkagent.com (replace :org with your organization's slug).
  3. Scroll to the Danger Zone section.
  4. Click Delete Organization and confirm the action.

Warning: Deleting an organization is irreversible. All agents, knowledge bases, chat logs, member data, and billing information associated with the organization will be permanently deleted. All team members will lose access immediately.


4. How to Delete an Agent / Chatbot

Individual agents or chatbots can be deleted from the agent's settings page without affecting the rest of your organization.

Steps:

  1. Log in and navigate to your organization's dashboard.
  2. Open the agent you wish to delete.
  3. Go to :org/agent/:agentId/settings/general on elkagent.com (replace :org and :agentId with the appropriate values).
  4. Scroll to the Danger Zone section.
  5. Click Delete Agent and confirm the action.

Note: Deleting an agent will permanently remove the agent configuration, all connected knowledge bases, training data, uploaded documents, and all associated conversation history. This action cannot be undone.


5. Submitting a Manual Deletion Request

If you are unable to access your account or the in-app deletion options, you may submit a manual deletion request by emailing us at:

privacy@elkagent.com

Please include the following in your request:

  • Your registered email address
  • The type of deletion requested (account, organization, or agent)
  • The organization name or agent ID (if applicable)
  • A brief description of your request

We will verify your identity and process your request within 30 days of receipt.


6. Data Deletion After Account or Subscription Termination

Upon termination of your account or subscription — whether initiated by you or by Elk Agent — we will:

  • Immediately revoke access to all paid features and the dashboard.
  • Retain your data for up to 30 days to allow for recovery in case of accidental termination.
  • Permanently delete all associated data after the 30-day grace period, unless a prior deletion request was received or legal retention obligations apply.

7. Third-Party Integrations

If you have connected third-party services (e.g., Slack, WhatsApp, CRMs) to your Elk Agent workspace, deleting your account or organization from Elk Agent will remove those integration credentials from our platform. However, you are responsible for revoking access permissions directly within those third-party platforms.


8. Data Retained for Legal Compliance

In certain circumstances, we may be required to retain limited data even after a deletion request, including:

  • Financial and billing records (as required by applicable tax and accounting laws)
  • Data subject to legal holds, regulatory investigations, or court orders
  • Fraud prevention records

Any retained data will be handled in accordance with our Privacy Policy and will be deleted as soon as retention obligations expire.
